PaySense ("we," "our," or "us") operates the PaySense merchant statement analysis platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform and services.
Information We Collect
Account Information
When you create an account, we collect your name, email address, company name, and role. If you sign in via Microsoft or Google SSO, we receive your name and email from the identity provider.
Statement Data
When you upload a merchant processing statement, we process the document to extract fee line items, transaction volumes, and rate structures. This data is stored in your account and used solely to provide analysis results.
Usage Data
We collect standard usage information including pages visited, features used, and analysis activity. This data helps us improve the platform and diagnose technical issues.
How We Use Your Information
- Provide and maintain the PaySense platform and analysis services
- Process and analyze uploaded merchant statements
- Generate reports, proposals, and savings calculations
- Authenticate your identity and manage your account
- Send service-related communications (not marketing)
- Monitor platform performance and fix technical issues
- Enforce our Terms of Service and protect against misuse
Data Security
We take the security of your data seriously. All data is encrypted at rest using AES-256 and in transit using TLS 1.3. Statement files are stored in private storage buckets with no public access. Signed URLs for file access expire within 60 seconds.
Access to your data is controlled through row-level security policies that ensure users can only access their own statements and analysis results. Enterprise plans include configurable data retention policies for automatic deletion of statement data.
Data Sharing
We do not sell your data. We do not share your merchant statement data with third parties for their own purposes. We may share data with:
- Service providers that help us operate the platform (cloud hosting, AI processing, document OCR). These providers process data on our behalf under strict contractual obligations.
- Legal authorities when required by law, subpoena, or court order.
Data Retention
We retain your account information for as long as your account is active. Statement data and analysis results are retained according to your organization's data retention settings. Enterprise customers can configure automatic deletion periods. You can request deletion of your data at any time by contacting us.
